Privacy Policy

This policy explains what personal information Seeasa collects, why we collect it, how we look after it, and what rights you have over it. We keep it deliberately short and plain, because you should be able to read it in a few minutes.

Who we are

Seeasa Limited ("Seeasa", "we", "us") provides facilities management, property maintenance and cleaning services across London and the South East. For the purposes of UK data protection law, Seeasa Limited is the "data controller" for the information described in this policy: we decide what is collected and what happens to it.

Information we collect

We only collect what we need in order to answer your enquiry and carry out work for you.

Information you give us

When you email or call us, or when we quote for and carry out work, we may hold:

  • your name and the name of your business or managing agent;
  • your email address and phone number;
  • the address of the property or site concerned, and access details where you have given them to us;
  • the details of your enquiry, quote, job or complaint, including notes, photographs of the work area, and correspondence with us;
  • billing information such as invoices and payment records. We do not take card details on this website, and we do not store card numbers.

Information collected automatically

This website is a plain, static site with no contact form and no advertising. It does use Cloudflare Web Analytics, so that we can see how many people visit and which pages are actually useful to them.

Cloudflare Web Analytics is a cookie-free product. A small script records the page you looked at, the site you arrived from if there was one, your country, your device type, browser and operating system, and how quickly the page loaded. It stores nothing on your device and reads nothing from it, it does not use cookies or device fingerprinting, and it cannot follow you between websites or build a profile of you. Cloudflare states that it does not collect or use visitors' personal data through this product, and what we see are aggregated counts rather than anything traceable to an individual.

Separately, our hosting provider keeps standard technical logs when a page is served, which include your IP address, the page requested, the date and time, and your browser and device type. These logs exist so the site can be delivered reliably and protected from attacks and abuse. We do not use them to identify individual visitors.

How and why we use your information

We use your information for the following purposes, on the following lawful bases under the UK GDPR:

  • To respond to your enquiry and prepare a quote. Our legitimate interest in dealing with requests made to us, and taking steps at your request before entering a contract.
  • To carry out and manage the work you have asked for, including scheduling, site access, health and safety, invoicing and aftercare. Performance of our contract with you.
  • To keep accounting and tax records and to meet health and safety and other legal duties. Compliance with a legal obligation.
  • To handle complaints, insurance matters and disputes, and to keep records that let us defend a claim. Our legitimate interest in running the business responsibly.
  • To understand how this website is used, from aggregated, cookie-free visitor statistics. Our legitimate interest in knowing whether the site is working and which pages are worth keeping.
  • To keep the website secure and available. Our legitimate interest in protecting our systems.

We do not send marketing emails or newsletters. If that ever changes we will ask for your consent first, and every message will carry a one-click unsubscribe. We never sell, rent or trade your personal information, and we do not use it for automated decision-making or profiling.

Cookies

Seeasa sets no cookies on this website. We chose the cookie-free kind of analytics described above precisely so that nothing has to be stored on or read from your device, which is why you are not being asked to accept anything. If we add something in future that does need cookies, such as a contact form, an embedded map or a chat widget, we will update this policy and ask for your consent where the law requires it.

Who we share it with

We keep your information within Seeasa wherever possible. Where we do share it, it is limited to what the recipient needs, and they are not permitted to use it for their own purposes:

  • Our staff and vetted subcontractors, who need the site address, access arrangements and job details in order to carry out the work.
  • Service providers who run our systems: Cloudflare, Inc. (website hosting, security, and the Web Analytics described above) and Fastmail Pty Ltd (our email).
  • Our accountant, bank and payment providers, for invoicing, payments and statutory accounts.
  • Our insurers and professional advisers, where a claim or a legal question arises.
  • Public authorities, where we are required to disclose information by law or by a court.

Some of these providers are based outside the UK, or store data outside it. Where information is transferred abroad we rely on the safeguards recognised by UK law, such as UK adequacy regulations or the International Data Transfer Agreement or Addendum, so that your information keeps an equivalent level of protection.

How long we keep it

  • Enquiries and quotes that do not lead to work: up to 12 months, then deleted.
  • Client and job records, invoices and accounts: six years after the end of the tax year in which we last worked for you, which is the period HMRC and the Limitation Act require.
  • Health, safety and incident records: for as long as the relevant regulations require, which can be longer than six years.
  • Server logs: a short period set by our hosting provider, typically days rather than months.
  • Website statistics: kept by Cloudflare in aggregated form for a limited period that they set, and not linked to you.

When information is no longer needed we delete it or securely dispose of it.

How we protect it

Access to client information is limited to the people who need it. Our email and hosting accounts are protected by strong, unique passwords and two-factor authentication, and data is encrypted in transit, including on this website. Paper records, where we hold any, are kept securely and shredded when finished with. No system can be guaranteed completely secure, but if a breach ever affected your rights we would tell you and the Information Commissioner's Office as the law requires.

Your rights

Under UK data protection law you have the right to:

  • be told what personal information we hold about you, and get a copy of it;
  • have inaccurate or incomplete information corrected;
  • have your information deleted, where we have no continuing reason to keep it;
  • ask us to restrict how we use it while a concern is being resolved;
  • object to our use of it where we rely on legitimate interests;
  • receive your information in a portable format, or have it sent to another provider;
  • withdraw any consent you have given, at any time.

To use any of these rights, email hello@seeasa.uk or call 020 8720 7451. We will respond within one month, and there is no charge. We may ask you to confirm your identity first, so that we do not disclose information to the wrong person.

Complaints

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the UK regulator, the Information Commissioner's Office, at ico.org.uk/make-a-complaint or on 0303 123 1113.

Other websites and children

Where we link to another organisation's website, that site has its own privacy policy and we are not responsible for it. Our services are aimed at businesses and adult homeowners, and we do not knowingly collect information about children.

Changes to this policy

We may update this policy as our services or systems change. The current version always lives at seeasa.uk/privacy, and the date at the top tells you when it last changed. If a change materially affects how we use information you have already given us, we will contact you directly.
